1. Prices

Prices may be quoted in GBP, USD or EUR and exclude VAT where applicable. All prices are ex-works Coleshill, UK unless otherwise stated. Packing, freight, insurance and customs duties are chargeable where applicable.

2. Continuous Improvement & Change Control

Sampling Systems operates a policy of continuous improvement and reserves the right to amend specifications and pricing without prior notice.

3. Delivery Dates

Delivery dates are estimates provided in good faith. Sampling Systems cannot accept liability for losses resulting from delivery delays.

4. Penalty Clauses

Penalty clauses are not accepted unless expressly agreed in writing. Delivery schedules and pricing may be amended where penalty clauses form part of a contract.

5. Documentation

A standard Certificate of Conformity is supplied free of charge. Customer-specific documentation may incur additional charges.

6. Payment Terms

Approved credit account customers must pay invoices within 30 days of invoice date.

• Payment is due from invoice date.
• Bank charges remain the responsibility of the customer.
• Payment is normally by bank transfer.

7. Exclusions

Prices cover supply of equipment only and exclude installation, commissioning, training and site attendance unless otherwise stated.

8. Technical Standards

Sampling Systems reserves the right to vary specifications before order acceptance. Any changes after acceptance will be agreed with the customer.

9. Cancellations

Cancelled orders may incur a charge of 25% of order value or the cost of work completed and materials used, whichever is greater.

10. Returns Policy

Customers must obtain a Returns Number before returning goods.

• Custom-made products cannot be returned unless faulty.
• Incorrectly supplied or faulty goods will be replaced at our expense.
• Incorrectly ordered stainless steel products may incur a 20% restocking fee.
• Single-use plastic products cannot normally be returned.

Returned goods must be clearly marked with the Returns Number and returned carriage paid unless otherwise agreed.

11. Insurance Liability

Goods are insured until the point of unloading.

Any transit damage must be reported within three days of receipt. Claims cannot be accepted after this period.

Where customers arrange their own carrier, responsibility transfers once goods leave the Sampling Systems premises.

12. Force Majeure

Sampling Systems shall not be liable for delays or non-performance caused by circumstances beyond our reasonable control including war, disease, fire, strikes or natural disasters.

13. Demonstrations

Where product demonstrations are required, operator time and associated costs may be chargeable.

14. Reservation of Title

All goods remain the property of Sampling Systems until payment has been received in full.

15. First Use of Reusable Goods

Reusable stainless steel products should be cleaned before first use as they are manufactured within a metalworking environment.

16. Single Use Disposable Products

Disposable products should be inspected before use to ensure packaging integrity.

These products are designed for single use only and repeated use may result in product failure.

17. Warranty of Reusable Products

Reusable products carry a 12-month warranty from dispatch.

• Replacement components supplied where appropriate.
• Coverage for structural and design-related failures.
• Telephone support provided free of charge.

Specifications, drawings, documentation and design concepts remain the copyright of Sampling Systems and may not be reproduced without written permission.

20. Data Protection

Personal data is handled in accordance with the Sampling Systems Privacy Policy.
